On October 29, 2009, we published information about the upcoming Annual General Meeting which failed to include the Ombudsman as one of the elected positions. The Ombudsman is a new position under By-Law No.1 as approved by the membership at the September 16, 2009 General Meeting.
As such, a Nomination Form has been added to the website specifically for the Ombudsman position (click here).
The deadline for nominations for the Ombudsman position only is Sunday, November 15, 2009. For the other 15 elected position, the deadline remains November 10, 2009.
We apologize for any confusion this may have caused.

The Annual General Meeting has been scheduled for:

Purpose of Meeting
The order of business of the Annual General Meeting shall be:
- presentation of annual reports, including the audited financial statements and the auditor’s report thereon;
- vote on amendments to By-laws, Rules, Regulations or Policies;
- other special business;
- elections; and
- new business
Amendments
At the September 16, 2009 General Meeting, a new Constitution/By-Law No.1 was adopted (click here to download). Any member who would like to propose an amendment to the By-Law No.1, must do so by forwarding their proposal to the Hornets office by no later than November 10, 2009 . A minimum of 62 members eligible to vote at the AGM must agree with any amendments being proposed. As such, each proposed amendment must include a list, printed names and original signatures, of those members supporting such amendment.

It is the responsibility of the nominator and the member to properly complete the nomination form and ensure it is received by the OHGHA on or before November 10, 2009. To download and print off the Nomination Form, click here.
Proxy votes
If you wish to give your vote by proxy to someone else, print off the form (click here to download). The member must complete the form and the person who the proxy has been assigned to must bring the form with them to the meeting.
Who can vote
Regarding who can vote at the AGM, one change brought in with By-Law No.1 is one player now equals one vote. As of the meeting date of November 19, 2009, if the registered member is at least 18 years of age, she will be entitled to vote. If the member is less than 18 years of age as of the meeting date, one of her parents may vote on her behalf.

On September 16, 2009, a General Meeting took place and a new Constitution/By-Law No.1 was adopted. Click here to download.
The next step is to hold our Annual General Meeting. Along with the usual business, we will be electing an Executive Committee and Board of Directors - some of these positions are new to our Association. Please take a moment and read our new By-Law No.1 to understand the structure and what the positions are. The new structure encourages members to volunteer to fill more positions, elected and non-elected, in order to spread the workload, which is what the operation of the Association now demands.
Shortly, each member will receive a notice, by email, with details of the Annual General Meeting including the nomination process for elected positions.

to amend the Association's Constitution. The Executive Committee is proposing a new constitution, (click here to read). Any member who would like to propose an amendment to the current constitution must do so by September 2, 2009 by forwarding their proposal to the Secretary by email at secretary@oakvillehornets.org or by letter to the office.
Proxy votes will be allowed. Our current constitution does not permit proxy voting but the corporations act, which overrides our constitution, requires proxy voting be allowed. If you wish to give your vote by proxy to someone else, print off the form (click here to download). The member must complete the form and the person who the proxy has been assigned to must bring the form with them to the meeting.
Regarding who can vote, registered members from last years season 2008-2009 and this year's season 2009-2010 will be eligible to vote. As of the meeting date of September 16, 2009, if the registered member is at least 18 years of age, she will be entitled to vote. If the member is less than 18 years of age as of the meeting date, each of her parents may vote on her behalf. Each parent may only cast one vote no matter how many players are under their care.
The changes being proposed by the Executive Committee in the new Constitution include new definitions of members and who can vote. The association relies on the information members supply us at the time of registration. If you wish to confirm the information you supplied us or wish to change the information, please contact the office to make the changes.

For the last seven weeks, the Constitutional Committee has met to discuss many issues and has now prepared a new draft Constitution (By-Law No.1, click here to read). The Constitutional Committee members include the current Executive Committee comprising of Bryan McGuire, President, John Burgess, Past President, Andrew Werbowski, Secretary, Janet Schwichtenberg, Treasurer, Ron Bidulka, VP Rep, Mike Turczyniak, VP House League, Stephen Abrahams, VP Scheduling, Cathy Collier, VP. Also on the Committee are Pat O'Kelly, Bob Aziz, Mark McMahon, Will Stenason, Lou Merrick, Anythony Booth.
This new draft not only updates the way the Association will conducts its business but it also will comply with current Provincial Legislation, something our current Constitution, and many other Associations like ours, have not done over the years. Not being compliant with current Provincial Legislation is one of the main reasons the AGM was postponed.
On Thursday, August 13th at 7:30pm at Town Hall, the Constitutional Committee will be available to receive comments and answer questions on the new draft Constitution. With input from the membership on August 13th, the Executive Committee will then put forth a proposed amendment to the current Constitution. A tentative date of Wednesday, September 16th has been scheduled for a General Meeting at which time a Constitution will be voted on by the membership. Notice for the September 16th General Meeting will be given in the required form to all members. Votes by proxy for the September 16th General Meeting and all future General Meetings will be allowed.
Once a new Constitution has been adopted, the Annual General Meeting (AGM), which was postponed in May, will take place in October. The purpose of this AGM is to elect Officers/Board of Directors.
Although our AGM has been delayed this year, I'm glad to see so many members take interest in making our Association even better than what it currently is. Without volunteer members stepping forward in any capacity, we would not be able to provide the programs for females who wish to play the great game of hockey in Oakville. Keep up the great work.

As you are aware, the Annual General Meeting has been postponed. The reason for this was two part. First, the amendments proposed were not submitted in the required form and therefore could not be discussed or voted on at the AGM. Second, the Associations current Constitution, By-laws, Regulations and Rules are out of date and don’t meet the requirements of current Provincial Legislation. The Executive Committee felt, in the best interest of the Association and its members, the AGM should be postponed go give all parties involved, and the membership, an opportunity to review and put forward changes to our Constitution, By-laws, Regulations and Rules to better reflect the needs of the Association.
As a result, a Constitutional Committee has been formed. Over the next few months, this committee will review, consult, recommend on the future Constitution, By-laws, Regulations and Rules of the Association. If you wish to be involved in this process, please email president@oakvillehornets.org. This website will be updated on the status of Constitutional Committee regarding proposed amendments/changes.
You will be advised by general broadcast emails over the summer with updates on this issue. Please take the time to read these emails and become informed on the direction your Association is going.
